Private viewers can view your SSO and/or password protected styleguide without SSO access or access to the password. You may want to use this option to share your styleguide with external collaborators such as agencies, freelancers, or contractors so they can use your design system. 

Inviting private viewers by email also means you can revoke an individual’s access when they no longer require access to your styleguide.

How to invite a private viewer

1) Click the Share button in your styleguide

2) Move to the Invite tab

3) Enter their email address and click Send Invite

4) The private viewer will receive an email which contains a link that can be used to access the styleguide without SSO access or knowing the password

How to invite multiple private viewers

1) Click the Share button in your styleguide

2) Move to the Invite tab

3) Either enter the email addresses, each separated by a comma or upload a CSV file that contains the email addresses

When uploading a CSV file you should ensure that the file only contains a row per email address in the first column. The file should not contain more than 1,000 email addresses in total.

4) If the CSV file includes email addresses that have previously been added a private viewers you will see the option to either only invite new private viewers or to invite everyone (i.e. send a new invitation to those who’ve been previously invited).

5) The private viewers will each receive an email which contains a link that can be used to access the styleguide without SSO access or knowing the password

How to revoke access

Private viewers will continue to view the styleguide until their access is revoked. If you no longer want a private viewer to be able to access the styleguide you can:

1) Click the Share button in the styleguide.

2) Open the Invite tab.

3) Click the trash icon next to the private viewer whose access you’d like to revoke.

4) The viewer will no longer have access to the styleguide.

๐Ÿ‘‰ Note: This will only remove their access to a particular styleguide. If you have granted them access to multiple styleguides you will need to remove them from each styleguide.

How private viewers get access

1) Click the View styleguide button in their email

2) The private viewer can now view the styleguide for 30 days on the same device/browser

3) If a private viewer clicks the View styleguide button on a different device/browser, they can get a new link sent via email that they can use to view the styleguide on their new device

4) If a private viewer attempts to go directly to the styleguide (i.e. without using the View styleguide button):

  • 30 days after they clicked the link in their email, or
  • on a different device/browser than where they clicked the link in their email

they can get a new link sent via email that they can use to continue to view the styleguide.

Who can invite private viewers?

All admins and editors on your zeroheight team can invite private viewers to the styleguide.

Who can revoke access?

All admins and editors on your zeroheight team can remove viewers from the styleguide.

What are the limitations for private viewers?

Private viewers can access the styleguide via a direct link (i.e. without using the (i.e. without using the View styleguide button in their email) for 30 days on a single device/browser.

After 30 days have elapsed since they last clicked the the View styleguide button they will need to generate a new link or use the View styleguide button in their email.

If they want to view the styleguide on a new device they will need to generate a new link.

Usually, if this happens the invitation email may have landed in your spam/junk folder so we would suggest checking here first. If you still can’t find the email then please contact support@zeroheight.com to help you with this.

Can we use this option in conjunction with SSO?

Yes, this option has been designed to work alongside SSO. Viewers in your organization can continue using their SSO credentials to view the styleguide. Viewers outside your organization can use the link.
